How to use Pay & Receive

Pick the task you need. Start with one payment, or paste your existing sheet.

Add a payment

  1. Click Add a payment and choose the company.
  2. In To pay, add a payment to make. In To receive, add a payment to receive. The general Add & import screen lets you choose either direction.
  3. Enter the name, amount, payment reference, and due date. Add the supplier's IBAN for a bank payment.
  4. Click Save. If a contact or payment may already exist, check the matching details first.
  5. Save adds a valid single entry directly when your role permits it. The app opens the chosen company and the saved record in To pay or To receive; repeating records open in Recurring schedules.

Your role may show Send for approval instead. The owner can check those submissions in Add → Imports.

Paste rows from a sheet

  1. Open Add and find Paste rows / sheet.
  2. Choose the company and whether these are payments to make or receive.
  3. Copy these columns: Supplier, IBAN, Amount, Reference, Due date. You can also choose a CSV or XLSX. Headers help identify columns.
  4. Click Preview. Check amounts and dates. Sheet dates use day/month/year; 2026-10-16 also works.
  5. Fix rows needing attention, or uncheck them to keep for later.
  6. Click Save selected rows. If a selected row fails a check, nothing in that submission is saved.

Example: Harbour Supplies · supplier IBAN · 125.50 · HS-101 · 16/10/2026. Amounts such as 125,50 work too. Preview up to 1,000 rows together. Private drafts keep unfinished work. Successfully saved rows clear; unchecked preview rows stay for later. Customer sheets can omit IBAN and include a mobile number.

Make a bank file

  1. Open To pay. Choose the company, bank account and payment date.
  2. Select payments using the payment checkboxes, or Select all ready payments. Selections stay saved across pages. Use Manage records separately when you want to edit or delete whole payment records.
  3. Check the total. Enter a smaller amount beside a payment for a part payment.
  4. Click Check and generate SEPA bank file for BOV, or Check and generate Revolut CSV for Revolut. Review the recipients, count and total, then approve the payment file.
  5. Click Download bank file. Download payment list gives a separate CSV for your records.
  6. Upload and review the file in your bank. You authorize payments there.

Downloading a file does not mean payment was made. Re-downloading returns the same content and payment codes.

A payment is not ready

Use Edit details to check company, amount, date or reference. Open Contacts to check the supplier's bank details. Save your own bank account in Settings. An IBAN format check does not prove who owns the account.

BOV and Revolut file details

Each bank has its own profile. BOV's supplied version 9 layout uses SEPA XML, its filename and subscriber code. TXT is available for bank testing. The current BOV profile requires at least ten instructions for final SCT files; confirm a different entitlement with the bank before changing that profile. Never invent payments to reach a minimum. Revolut Business uses its reviewed EUR CSV template. Format checks do not establish bank acceptance.

Track receivables

  1. Add a payment to receive with an optional mobile number. Choose bank transfer, cheque or cash, and your own company bank account where appropriate. A customer IBAN is not needed. Open To receive to see outstanding receivables.
  2. Use Edit details to add a promised receipt date or note. The original due date stays visible.
  3. Use Record money received when money actually arrives.
  4. Prepare a customer statement if needed and check the draft before sending it yourself.

A promise is not money received. Customer emails are separate from your daily owner reminder.

Set up recurring payments

  1. Open To pay → Recurring schedules and choose Add recurring payment. Receivables have the same Recurring schedules tab under To receive.
  2. Choose the company, supplier or customer, amount and reference.
  3. Choose a frequency: Weekly, Every 15 days, Monthly, Quarterly, Half-yearly or Yearly. Existing schedules can also keep Every 2 weeks or Every 2 months.
  4. Choose the first due date. Leave the end date empty to continue, or set the last permitted date. For monthly or longer schedules, the month-end option keeps future dates on each period’s last day.
  5. Check the date preview, then save or send for approval. The Recurring schedules tab shows each schedule once, its frequency, next dates and status.
  6. Record each payment or receipt when it actually happens. That period is settled separately from future periods.

Every 15 days means exactly 15 days, not twice per month. Half-yearly means every six months. Recurring schedules create due dates; they do not send bank payments. Use the normal payment preparation and approval process when a payment is due.

You can pause a manual schedule and resume it later. Schedules with payment, bank-file or accounting history retain their original dates and amounts; pause the old schedule and add a replacement when needed. Payments to make and Receivables show outstanding due occurrences. A scheduled payment date is the date you choose to prepare a payment; it is separate from how often a payment repeats. Use the date filter “With a scheduled payment date” to find saved payment plans.

Check an import before adding it

  1. Open Add → Imports and upload your CSV or Excel sheet.
  2. Check the extracted rows in the editable preview. Fix the company, name, amount, reference, dates and frequency before saving.
  3. Choose Add this row to add one record, or select rows and choose Add selected. Unselected rows stay in the preview.
  4. Check supplier matches, changed bank details and possible duplicates when prompted. Rows are added only after the required checks pass.

Single entries do not go through a separate Review section. Previously saved imports, source changes and submissions from restricted users remain available inside Imports for an authorized person to check. Source changes never silently replace approved records.

Import from Zoho Books

The connection is read-only. Choose the matching company and preview payment records in Add → Imports. Check each change before approving it. Bremto does not post changes into Zoho.

Read a supporting payment document or photo

  1. Open To pay → Attach PDF / take photo.
  2. Choose your company and Upload PDF or saved image, or Take a picture. Keep one payment in each document.
  3. Click Read document. Tesseract extracts suggested fields privately on your server.
  4. Open the ready document and compare its original with the supplier, amount, reference, due date and IBAN. Correct any missing or uncertain value.
  5. Check the confirmation and click Add a payment. Restricted users submit for approval instead. If a similar supplier is found, use Supplier matching to choose the correct contact or explicitly confirm a new supplier.
  6. Select saved payments in To pay and prepare the BOV or Revolut file. Check new bank details independently before using them.

Supports PDF, JPEG, PNG and HEIC, up to ten files of 10 MB each and twenty pages per PDF. Reading may need a clearer image; it does not guarantee every field. Adding a payment never sends money or changes Zoho.

Select, edit, delete and restore

  1. Use the checkboxes or Select all in the section you are working in. The label states whether it includes all matching records or only the shown upload preview.
  2. Use Delete selected or Delete all matching and check the preview. Deleting a recurring payment removes its whole schedule.
  3. Undo restores the last deletion immediately. Later, open Deleted records, select records and Restore.
  4. In Add → Imports, select the rows to add. Existing saved imports and submitted entries remain available there for authorized approval.
  5. The owner can open Settings → Delete or clear data, choose the company and categories, preview the records, then type CLEAR to confirm.

Deleted records remain recoverable. Payment and bank-file history, users, company settings, connections and audit history remain saved.

Companies

The owner can add and edit companies from Companies. Delete company lists linked data that must be removed first, including deleted records, unused bank accounts and access assignments. Only an empty company can be deleted, after typing its name and confirming. Retained payment/accounting evidence can prevent deletion; it is never erased by deleting a company.

Your account and daily email

  1. Sign in with your invited account. Use Forgot password if needed.
  2. The owner chooses reminder time and how many days before a due date to be reminded. Invited users do not receive those reminders.
  3. Use Log out when finished. Records and downloads require login.
  4. Open My profile to update your name, password and security. The owner manages users here. New staff default to Add records only: they can submit new records for review, but cannot read existing financial records, edit/delete them, approve files or invite users. The owner may explicitly choose broader Bookkeeper, Viewer or Approver access. Choose company access explicitly.
  5. Account security offers optional two-step sign-in and private recovery codes.

Reminders run while you are logged out. Settled payments stop producing due reminders. Email links still require sign-in. Keep passwords, bank codes and accounting secrets private.

Something did not work?

Fix the field named in the message. Update reloads records without discarding a saved draft. Confirm a changed IBAN independently before approving it.
